London Plant Maintenance


1. Introduction

Welcome to London Plant Maintenance (“we”, “us”, “our”).
These Terms & Conditions (“Terms”) govern the provision of our plant maintenance, installation, rental, and pest control services (“Services”) to you (“Client”).
By booking or receiving any service from us, you agree to be bound by these Terms.

If you do not agree with these Terms, please do not use our services.


2. Services Provided

We offer the following services:

  • Indoor and outdoor plant maintenance
  • Plant installation and design
  • Short- and long-term plant rental
  • Pest control and plant health treatments
  • Substrate refresh, repotting, and plant rejuvenation
  • External terrace, garden, and courtyard care

A detailed service description will be set out in your quotation or service agreement.


3. Quotes & Pricing

3.1 All quotes are valid for 30 days unless otherwise stated.
3.2 Prices are exclusive of VAT unless specified.
3.3 We reserve the right to revise pricing for long-term contracts with 30 days’ written notice.
3.4 Additional charges may apply for:

  • Emergency visits
  • Out-of-hours work
  • Plant replacements (where not covered under contract)
  • Travel outside Greater London

4. Payments

4.1 Payment terms are 14 days from invoice unless otherwise agreed in writing.
4.2 Late payments may result in:

  • Suspension of services
  • Late payment fees under the UK Late Payment of Commercial Debts Act
    4.3 For installations or large orders, a 50% deposit is required prior to commencement.

5. Plant Replacement Policy

5.1 For clients on an active maintenance contract, we will replace failing plants free of charge for the first 12 months, provided the decline is not caused by:

  • Negligence
  • Unauthorised plant movement
  • Damage from cleaners, contractors, or staff
  • Extreme environmental conditions (e.g., heating issues, drafts, neglect)

5.2 After 12 months, replacements are chargeable unless otherwise agreed.


6. Client Responsibilities

The client agrees to:

  • Ensure reasonable access during scheduled visits
  • Notify us of building changes affecting plants (e.g., lighting, heating, layout changes)
  • Not water or treat plants unless instructed
  • Maintain safe, hazard-free conditions for our team

If access is denied or the environment is unsuitable, the booked visit may be charged in full.


7. Cancellations & Rescheduling

7.1 Maintenance Visits:
Must be cancelled 24 hours in advance. Short-notice cancellations may be charged in full.

7.2 Installations & Large Projects:
Cancellations less than 7 days before the booking may incur fees for pre-purchased products or labour.

7.3 Contract Termination:
Either party may terminate a maintenance contract with 30 days’ written notice.


8. Plant Rental Terms

8.1 Plants and planters supplied on rental remain the property of London Plant Maintenance.
8.2 Clients must not remove, relocate, or modify rental items without permission.
8.3 Damage or loss will be charged at replacement value.


9. Pest Control Disclaimer

While we use professional, eco-friendly treatments, we cannot guarantee the permanent elimination of pests, especially in environments with:

  • High humidity
  • Poor ventilation
  • Existing infestations in the building

We will, however, advise and implement the best possible treatment plan.


10. Warranties & Limitations of Liability

10.1 We will perform services with reasonable skill and care.
10.2 We are not liable for:

  • Damage caused by clients, cleaners, contractors, or building issues
  • Loss of plants due to extreme conditions or neglect
  • Indirect or consequential losses
  • Allergic reactions to plants (the client must assess workplace needs before installation)

10.3 Our total liability will not exceed the total fee paid for the service in question.


11. Health & Safety

All work will be carried out in accordance with UK Health & Safety regulations.
Clients must inform us of:

  • Asbestos risks
  • Security restrictions
  • Hazardous site conditions
  • We reserve the right to refuse service in unsafe environments.

12. Environmental Commitment

We aim to use sustainable materials, minimise waste, and support environmentally conscious suppliers.
10% of our profits are donated to The Forward Trust as part of our social mission.


13. Privacy Policy

We handle personal data in compliance with the UK GDPR.
Please refer to our Privacy Policy for detailed information on how we process client data.


14. Governing Law

These Terms are governed by the laws of England and Wales.
Any disputes shall be handled under UK jurisdiction.
